Overview
Background
The Talent CRM platform is a tool used by recruiters and talent acquisition teams to manage candidate pipelines, track interactions, and streamline hiring processes. One of the most frequently used features in the platform is the Contact List, where users can view, filter, and manage candidate information.
However, user feedback indicated that the existing Contact List was outdated, inefficient, and lacked key functionalities like bulk editing and updating. These limitations were causing frustration among users, leading to inefficiencies in their workflows.

The goal of this project was to revamp the Contact List page to improve usability, introduce bulk edit and update features, and ultimately enhance the overall user experience for recruiters and talent acquisition teams.

Problem Statement
Recruiters and talent acquisition teams are unable to efficiently manage large volumes of contacts due to the lack of bulk edit functionality and an outdated interface, resulting in wasted time and increased frustration.
Research Phase
User Research
To understand the pain points and needs of our users, we conducted the following research activities:
1. User Interviews: We interviewed 10 recruiters and talent acquisition managers to gather insights into their workflows, challenges, and expectations.
2. Usability Testing: We observed users interacting with the current Contact List to identify friction points.
3. Competitive Analysis: We analyzed similar platforms (e.g., LinkedIn Recruiter, Greenhouse, Lever) to benchmark best practices for contact management and bulk actions.
Key Findings
- Inefficient Workflow: Users often needed to perform repetitive tasks (e.g., updating statuses or tags for multiple candidates), which required navigating to individual profiles.
- Lack of Bulk Actions: The absence of bulk edit functionality forced users to manually update each contact, leading to wasted time and errors.
- Poor Filtering & Sorting: Users struggled to find specific contacts due to limited filtering options and slow performance.
- Cluttered UI: The existing design was overcrowded with unnecessary elements, making it difficult to focus on key actions.

Design Process
Ideation
Based on the research findings, we brainstormed potential solutions to address the identified issues. Key ideas included:
- Adding a bulk edit feature to allow users to update multiple contacts at once.
- Redesigning the layout to prioritize essential information and actions.
- Enhancing filtering and sorting capabilities for faster navigation.
- Introducing inline editing for quick updates without leaving the page.
Wireframes
We created low-fidelity wireframes to explore different layouts and interaction patterns. Some key decisions during this phase included:
- Placing checkboxes next to each contact row to enable multi-selection.
- Adding a floating action bar that appears when multiple contacts are selected, offering options like "Edit Tags," "Change Status," and "Delete."
- Simplifying the table headers to include only critical data points (e.g., Name, Email, Status, Tags).
Prototyping
Using Figma, we developed high-fidelity prototypes to test the proposed designs. The prototype included:
- A revamped Contact List with improved visual hierarchy.
- Bulk edit functionality accessible via the floating action bar.
- Inline editing for fields like status and tags directly within the list.

Testing & Iteration
Usability Testing
We conducted usability tests with 8 participants using the prototype. Tasks included:
1. Selecting multiple contacts and updating their statuses.
2. Filtering the list to find candidates with specific tags.
3. Editing a single contact’s details inline.

Based on feedback, we made the following adjustments:

- Sorting options enable users to organize the list alphabetically, by date added, or by relevance.

Revamping the Contact List in the Talent CRM platform addressed significant pain points for recruiters and talent acquisition teams. By introducing bulk edit and update features, along with a cleaner and more intuitive design, we empowered users to work more efficiently and effectively.
This project reinforced the importance of listening to user feedback and iterating based on real-world testing. Moving forward, we plan to continue enhancing the platform by exploring additional automation features and personalization options to further support our users’ evolving needs.
